AR Billing, Invoice Submission Analyst

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee the daily, weekly, and monthly billing processes, ensuring precise data extraction from the ERP/CRM system and timely generation and distribution of invoices to clients in line with established terms and deadlines.

• Examine all sales orders, contracts, and accompanying documentation to confirm that billing details (pricing, discounts, terms, customer information) are accurate prior to invoice generation.

• Ensure that all invoices adhere to local, state, and international tax regulations, including sales tax exemptions and contractual stipulations (e.g., milestone billing, recurring subscriptions).

• Conduct regular reconciliations of the Accounts Receivable sub-ledger with the General Ledger, investigating and addressing discrepancies related to unapplied cash, misposted charges, or billing inaccuracies.

• Act as the primary point of contact for intricate billing disputes and inquiries from customers and internal teams, investigating issues, issuing credit memos or adjustments, and effectively communicating resolutions.

• Identify potential areas for automation or workflow optimization in the billing process, aiming to minimize manual errors and enhance the efficiency of the cash collection cycle.

• Support the Accounting team during period-end close activities, including the preparation of billing accruals, deferred revenue schedules, and summary reports on invoicing activities.

• Review finalized invoices against specific customer contracts or Purchase Order (PO) terms to verify that all necessary fields (e.g., PO numbers, line item descriptions, tax codes) are correct before submission.

• Ensure the timely and accurate submission of invoices along with necessary supporting documents (e.g., timesheets, acceptance forms, receipts) via various customer portals, EDI, or secure electronic mail methods.

• Actively monitor customer portals and internal systems for submission rejections or alerts; quickly rectify and resubmit invoices to prevent payment delays.

• Maintain a well-organized and current library of submission procedures, contact details, and compliance checklists for all major customers or platform requirements.

• Collaborate with Sales, Project Management, and AR Collections teams to identify and resolve issues concerning missing documentation or customer submission criteria.

• Propose and implement enhancements to the submission process, utilizing automation tools or improved system integration to boost efficiency and minimize submission errors.

• Track and report on critical submission metrics, including the first-pass submission success rate and the duration from invoice generation to successful customer acceptance.

⛳️ Requirements

• Bachelor’s degree in Finance, Accounting, Economics, Business Analytics, Statistics, or a related field.

• A minimum of 2-3 years of demonstrated experience in an Accounts Receivable, Billing, or Sales Operations role, particularly in a high-volume setting.

• Strong practical experience with a major ERP system and/or dedicated billing software.

• Advanced skills in Microsoft Excel (including pivot tables, VLOOKUP, and large data manipulation) for reconciliations and reporting purposes.

• Exceptional accuracy and meticulous attention to detail are essential for identifying and preventing billing errors.

• Excellent written and verbal communication skills; capable of explaining complex billing issues to non-financial personnel (Sales, Operations) and customers.

• Proven capacity to professionally manage and resolve billing discrepancies and complex customer challenges.
